GUIDELINES FOR SUPPLIER REGISTRATION APPLICATIONs..


Read and understand these guidelines before making the application online at Media Prima Berhad’s Suppliers e-Registry (hereinafter referred to “SUPeR”).

Complete the registration forms as per required for Media Prima Berhad (MPB) to process and approve your application.

Supplier is defined as a person or entity that supplies products and/or services to MPB and its group of companies. Supplier shall include contractors, service providers and consultants, their principals, employees, sub-contractors and agents.

MPB reserves the right to make any changes to the guidelines without any prior notice and without assigning any reasons whatsoever.

  1. General requirements for suppliers
    Suppliers who wish to be and/or remain as a potential supplier to MPB and its group of companies and be eligible to conduct business with MPB must fulfil the following requirements:

    1.1 Suppliers operating as a company – Private Limited (Pte Ltd) / Sdn Bhd / Public Limited / Berhad / Sole proprietor / Partnership / Limited Liability Partnership:

    1.1.1 Malaysian company: Must be a registered company with the Companies Commission of Malaysia (Suruhanjaya Syarikat Malaysia), and that the registration is still valid;

    1.1.2 Foreign company (company incorporated outside Malaysia): The company must be duly registered with the relevant authorities in the company’s respective countries, and that the registration is still valid.

    1.2 Suppliers operating as individuals:

    1.2.1 The individual is not an undischarged bankrupt; and/or

    1.2.2 The individual has no civil and/or criminal actions initiated or in proceedings against him / her

    1.3 Malaysian company / business: Registered with Government departments (such as Ministry of Finance, Malaysian Communications and Multimedia Commission, etc.) and/or statutory / professional bodies (such as Construction Industry Development Board (CIDB), FINAS, etc.) related to the Purchasing categories applied;

    1.4 The company – local or foreign - must ensure that its management staff and/or employees have the necessary technical expertise and suitable equipment for each selected Purchasing Category;

    1.5 The company – local or foreign - must be in sound financial position.

    Companies with a paid-up and/or working capital of less than RM1,000 / SGD1,000 / USD1,000 / GBP1,000 or an amount in any other denominations which are equivalent to or less than RM1,000 will not be approved as a supplier for MPB.

    1.6 The company – local or foreign - is not involved in any winding-up process, or has a receiving order made against it.

    1.7 Suppliers have to ensure that their Authorised Personnel, each of their Individual Shareholders and Directors and/or Owner or Partners, complete the Declaration form in the respective sections. Failure to do so may delay the processing of the registration application.

  2. General information on registration
    2.1 Suppliers operating as a company (local and foreign) must do the following:

    2.1.1 Appoint an authorised representative of your company to conduct the registration application. The authorised personnel must be at least a manager in your company. He or she must have access to all necessary company information, the required documents (as per listed in Section 4 hereof), and the relevant certificates;

    2.1.2 Application for registration must be submitted via SUPeR;

    2.1.3 Refer to SUPeR’s list of Purchasing CategoriesPurchasing Categories before completing the online registration. Please select only products and/or services that your company can and has the capability to supply to MPB;

    2.1.4 Prepare all the required documents (as per listed in Section 4 hereof) before making the online submission to ensure a smooth registration process;

    2.1.5 Click on ‘First-Time Register’ to start the online registration;

    2.1.6 Applicants have to accept BOTH documents:

    1. ) MPB’s Personal Data Protection Notice; AND
    2. ) MPB’s Suppliers’ Code of Conduct

    BEFORE applicants can continue with the registration application;

    2.1.7 Select ‘Company’ and fill up the required sections accordingly as per the nature of your company’s set-up and business;

    2.1.8 Click ‘Submit’ after the online form has been fully completed as per required;

    2.1.9 Print the completed online form and MPB’s Suppliers’ Code of Conduct (both forms are collectively referred to as “the hard copy forms”). Sign and stamp the hard copy forms. Submit the hard copy forms and the required documents (as per listed in Section 4 hereof) to MPB’s head office within five (5) working days after the completed online submission date;

    2.1.10 The required documents (as per listed in Section 4 hereof) submitted with the hard copy forms must be certified true copy. All documents submitted to MPB will be kept with the strictest confidentiality; and

    2.1.11 Only complete applications will be processed.

    2.2 Hotels intending to register as a supplier to MPB and its group of companies must do the following:

    2.2.1 Appoint an authorised representative of your holding / parent company to conduct the registration application. The authorised personnel must be at least a manager in the holding / parent company. He or she must have access to all necessary company information, the required documents (as per listed in Section 4 hereof), and the relevant certificates;

    2.2.2 Application for registration must be submitted via SUPeR;

    2.2.3 Refer to SUPeR’s list of Purchasing Categories for hotels before completing the online registration. Please select only products and/or services that your company can and has the capability to supply to MPB;

    2.2.4 Prepare all the required documents (as per listed in Section 4 hereof) before making the online submission to ensure a smooth registration process;

    2.2.5 Click on ‘First-Time Register’ to start the online registration;

    2.2.6 Applicants have to accept BOTH documents:

    1. ) MPB’s Personal Data Protection Notice; AND
    2. ) MPB’s Suppliers’ Code of Conduct

    BEFORE applicants can continue with the registration application;

    2.2.7 Select ‘Hotel’ and fill up the required sections accordingly as per the nature of your company’s set-up and business;

    2.2.8 Click ‘Submit’ after the online form has been fully completed as per required;

    2.2.9 Print the completed online form and MPB’s Suppliers’ Code of Conduct (both forms are collectively referred to as “the hard copy forms”). Sign and stamp the hard copy forms. Submit the hard copy forms and the required documents (as per listed in Section 4 hereof) to MPB’s head office within five (5) working days after the completed online submission date;

    2.2.10 The required documents (as per listed in Section 4 hereof) submitted with the hard copy forms must be certified true copy. All documents submitted to MPB will be kept with the strictest confidentiality; and

    2.2.11 Only complete applications will be processed.

    2.3 Suppliers operating on individual capacity (without any business entity) have to do the following:

    2.3.1 Application for registration must be submitted via SUPeR;

    2.3.2 Refer to SUPeR’s list of Purchasing Categories for individual suppliers before completing the online registration. Please select only products and/or services that you can and has the capability to supply to MPB;

    2.3.3 Prepare all the required documents (as per listed in Section 4 hereof) before making the online submission to ensure a smooth registration process;

    2.3.4 Click on ‘First-Time Register’ to start the online registration;

    2.3.5 Applicants have to accept BOTH documents:

    1. ) MPB’s Personal Data Protection Notice; AND
    2. ) MPB’s Suppliers’ Code of Conduct
    BEFORE applicants can continue with the registration application;

    2.3.6 Select ‘Individual’ and fill up the required sections accordingly as per the nature of your business;

    2.3.7 Click ‘Submit’ after the online form has been fully completed as per required;

    2.3.8 Print the completed online form and MPB’s Suppliers’ Code of Conduct (both forms are collectively referred to as “the hard copy forms”). Put your signature on the hard copy forms. Submit the hard copy forms and the required documents (as per listed in Section 4 hereof) to MPB’s head office within five (5) working days after the completed online submission date;

    2.3.9 The required documents (as per listed in Section 4 hereof) submitted with the hard copy forms must be certified true copy. All documents submitted to MPB will be kept with the strictest confidentiality; and

    2.3.10 Only complete applications will be processed.

    2.4 Malaysian statutory bodies supplying products and/or services to MPB have to do the following:

    2.4.1 Appoint an authorised representative of your organisation to conduct the registration application. The authorised personnel must be at least a manager in your organisation. He or she must have access to all necessary information, the required documents (as per listed in Section 4 hereof), and the relevant certificates;

    2.4.2 Application for registration must be submitted via SUPeR;

    2.4.3 Refer to SUPeR’s list of Purchasing Categories before completing the online registration. Please select only products and/or services that your organisation can and has the capability to supply to MPB;

    2.4.4 Prepare all the required documents (as per listed in Section 4 hereof) before making the online submission to ensure a smooth registration process;

    2.4.5 Click on ‘First-Time Register’ to start the online registration;

    2.4.6 Applicants have to accept BOTH documents:

    1. ) MPB’s Personal Data Protection Notice; AND
    2. ) MPB’s Suppliers’ Code of Conduct

    BEFORE applicants can continue with the registration application;

    2.4.7 Select ‘Malaysian Statutory Body’ and fill up the required sections accordingly as per the nature of your organisation’s set-up and business;

    2.4.8 Click ‘Submit’ after the online form has been fully completed as per required;

    2.4.9 Print the completed online form and MPB’s Suppliers’ Code of Conduct (both forms are collectively referred to as “the hard copy forms”). Sign and stamp the hard copy forms. Submit the hard copy forms and the required documents (as per listed in Section 4 hereof) to MPB’s head office within five (5) working days after the completed online submission date;

    2.4.10 The required documents (as per listed in Section 4 hereof) submitted with the hard copy forms must be certified true copy. All documents submitted to MPB will be kept with the strictest confidentiality; and

    2.4.11 Only complete applications will be processed.

  3. How to register
    Applicants have to have secure Internet access for the registration application. MPB does not provide Internet access or facility for applicants to conduct the registration application at MPB’s head office or elsewhere.

    STEP 1: Go to suppliers.mediaprima.com.my

    STEP 2: Read through and understand the following:

    1. ) Guidelines; and
    2. ) Terms of Use

    STEP 3: Read through SUPeR’s list of Purchasing Categories before completing the online registration. Please select only products and/or services that your company / organisation can and has the capability to supply to MPB

    STEP 4: Click ‘First-Time Register’. Read through and accept BOTH documents:

    1. ) MPB’s Personal Data Protection Notice; AND
    2. ) MPB’s Suppliers’ Code of Conduct

    BEFORE applicants can continue with the registration application

    STEP 5: Applicants have to fill in all the relevant fields in the online registration form

    STEP 6: When applicants have successfully completed the online registration form and click ‘Submit’, an automated ‘Thank You’ note will be generated. The note will have links to the following:

    1. ) the accepted MPB’s Suppliers’ Code of Conduct;
    2. ) the completed registration form

    (Both forms are collectively referred to as “the hard copy form”)

    The hard copy forms have to be printed, signed and stamped accordingly

    STEP 7: Submit the hard copy forms, together with the required documents (as listed in Section 4 hereof), to MPB’s head office within five (5) working days after the submission date of the completed online form.

  4. Required documents
    Documents required to complete the online registration, and for hard copy submission are as per the following categories:

    a. Malaysian-registered Sdn Bhd / Berhad companies

    1. Completed registration form – signed and stamped
    2. MPB’s Suppliers’ Code of Conduct – signed and stamped
    3. Company profile
    4. Certificate of Incorporation of Private Company (section 17 of Companies Act 2016) – certified true copy
    5. Notice of registration of new company name (for change of name) (section 28 of Companies Act 2016) (if applicable) – certified true copy
    6. Memorandum and Articles of Association (if applicable) – certified true copy
    7. For new companies registered under Companies Act 2016: Application for incorporation / registration of a company (section 14 of Companies Act 2016)
    8. The latest Return of Allotment of Shares (section 78 of Companies Act 2016)
    9. The latest Register of Members (section 51 of Companies Act 2016)
    10. The latest Register of Directors, Managers and Secretaries (section 57 of Companies Act 2016)
    11. Notification of Change in Register of Directors, Managers and Secretaries (section 58 of Companies Act 2016) - if applicable
    12. Notification of Change in Registered Address (section 46 of Companies Act 2016) - if applicable
    13. Latest Annual Return – certified true copy
    14. Proof of company’s bank account name and number

    b. Malaysian-registered Sole Proprietorship / Partnership (under Registrar of Business)

    1. Completed registration form – signed and stamped
    2. MPB’s Suppliers’ Code of Conduct – signed and stamped
    3. Company profile
    4. Form D: Certificate of Incorporation, complete with pages on Details on Business Information and Details of Owners – certified true copy
      * Expiry date of business registration should be at least six (6) months from the SUPeR registration date
    5. Form E: Certificate of Renewal of Business, complete with pages on Details on Business Information and Details of Owners (if applicable) – certified true copy
    6. * Expiry date of business registration should be at least six (6) months from the SUPeR registration date
    7. Company’s bank account statement for the recent 3 months – certified true copy
    8. Registration certificates with, and/or licences by, any Government and/or professional bodies – certified true copy
    9. Awards / Certifications received – certified true copy

    c. Malaysian-registered Limited Liability Partnership (incorporated under Limited Liability Partnerships Act 2012 – Act 743)

    1. Completed registration form – signed and stamped
    2. MPB’s Suppliers’ Code of Conduct – signed and stamped
    3. Company profile
    4. Certificate of LLP incorporation from SSM (as per Section 11(4), Limited Liability Partnerships Act 2012), complete with details on business, address and partners
    5. Company’s bank account statement for the recent 3 months – certified true copy
    6. Registration certificates with, and/or licences by, any Government and/or professional bodies – certified true copy
    7. Awards / Certifications received – certified true copy

    d. Foreign company (Companies incorporated outside Malaysia and not governed by the Companies Act 1965)

    1. Completed registration form – signed and stamped
    2. MPB’s Suppliers’ Code of Conduct – signed and stamped
    3. Company profile
    4. Certificate of incorporation of company – certified true copy
    5. Certificate on company’s capital structure, shareholders and board of directors – certified true copy
    6. Latest audited Annual Report (not more than 2 years old from current year) – certified true copy
    7. Proof of company’s bank account name and number

    e. Hotel

    1. Completed registration form – signed and stamped
    2. MPB’s Suppliers’ Code of Conduct – signed and stamped
    3. Profile of hotel
    4. Certificate of Incorporation of Private Company (section 17 of Companies Act 2016) for holding / parent company of hotel – certified true copy

  5. Processing of applications
    All applications for registration in SUPeR are subjected to the following:

    1. Applicants have to first accept MPB’s Personal Data Protection Notice AND MPB’s Suppliers’ Code of Conduct;
    2. Only COMPLETE online and hard copy submission will be accepted for processing;
    3. In processing the application, the officer-in-charge may contact the applicant for further clarification, and applicants are expected to cooperate;
    4. Processing of applications may take up to 30 working days upon receipt by the officer-in-charge of COMPLETE hard copy submission;
    5. Request to fast track any registration application will NOT be entertained;
    6. Once their registration has been approved, applicants will be accepted as “registered suppliers” for MPB and will be notified of the same via email;
    7. To avoid any conflict of interest, applications for registration from company / companies owned by shareholder / director / staff of MPB and its group of companies will not be considered; and
    8. MPB maintains the prerogative to approve, suspend or reject any application for registration without notice to the applicants.

  6. Notice to applicants
    Please be informed that successful application in becoming a registered supplier for MPB does not guarantee an automatic invitation to participate in any of MPB’s quotation or tender exercise. The successful registration also does not guarantee an automatic issuance of any purchase order or contract from MPB. The selection of suppliers is based on the purchasing needs / requirements of MPB and its group of companies.
